Legal
Terms of Service
These terms govern your use of STEMPilot during its public beta. They describe what STEMPilot actually does today, not a future roadmap. Read this alongside the Privacy Policy, which governs how your data is handled.
OWNER/LEGAL REVIEW REQUIRED BEFORE PUBLIC LAUNCH: this section leaves a placeholder rather than inventing legal details that have not actually been decided.
1. Public Beta status
STEMPilot is currently in public beta. The product is real and working — every feature described here is actually live, not a future plan — but features, wording, and this document may change as the beta continues. Core candidate features are free during the beta; see section 15 on future paid plans.
2. Who can use STEMPilot
You must create an account with accurate information and keep your login credentials confidential. You are responsible for activity that happens under your account. Tell us promptly if you believe your account has been accessed without your permission.
STEMPilot is intended for individuals researching or pursuing STEM career and academic/research opportunities for themselves. It is not a tool for creating accounts on behalf of other people without their knowledge, or for automating bulk account creation.
3. Acceptable use
You agree not to use STEMPilot to:
- Submit false, fabricated, or misleading information about yourself, your qualifications, or your experience.
- Attempt to bypass authentication, rate limits, storage quotas, CAPTCHAs, or other access controls, on STEMPilot or on any third-party site STEMPilot links to or imports from.
- Scrape, harvest, or bulk-export opportunity data, other members’ information, or STEMPilot’s own content outside the features provided for your own use.
- Upload malicious files, attempt to probe or attack STEMPilot’s infrastructure, or interfere with other members’ use of the service.
- Use STEMPilot to harass, impersonate, defraud, or discriminate against any person.
- Resell, sublicense, or provide commercial access to STEMPilot’s features or data to third parties without our written permission.
4. STEMPilot is not an employer or recruiter
STEMPilot is a career-intelligence and opportunity-discovery tool. Unless a future feature explicitly says otherwise, STEMPilot is not your employer, a staffing agency, a recruiter, or a party to any employment, research, or funding relationship you may pursue. STEMPilot does not guarantee an interview, offer, admission, funding, or any other outcome.
5. Opportunity data and third-party sources
STEMPilot discovers and displays opportunity information — jobs, scholarships, fellowships, PhD and postdoc positions, and similar — from a mix of official sources, permitted connectors, admin curation, and opportunities you paste in yourself. STEMPilot does not control the accuracy, availability, or terms of third-party postings, and a listing may change, expire, or contain errors introduced by the original source. Always verify details (deadline, eligibility, funding, application method) on the official source before relying on them.
When you paste in a URL or description, STEMPilot only reads what the page itself publishes — it does not bypass logins, CAPTCHAs, paywalls, or other access controls, and it will not retrieve pages that block that kind of automated access.
6. AI-assisted features
Where STEMPilot uses AI to extract evidence from your CV, explain a match, or draft a document, that output can be incomplete, out of date, or wrong. AI-assisted output is a draft for your review, never a final or authoritative statement of your qualifications or of an opportunity’s requirements. You are responsible for reviewing, correcting, and approving any AI-assisted content before you rely on it or submit it anywhere.
During the public beta, STEMPilot may apply a monthly limit to the number of AI-assisted actions available on a free account. This limit never restricts access to your own data, your Career Profile, opportunity discovery, or your Application Tracker — only AI-generation actions.
7. You review and submit your own applications
STEMPilot discovers opportunities, explains matches, and can prepare draft application documents (tailored CVs, cover letters, statements) for you to review. STEMPilot does not automatically submit applications, does not automatically email employers, recruiters, professors, or principal investigators on your behalf, and does not mark an opportunity as “Applied” unless you record that yourself. You always choose the official application channel, and you are the one who submits.
8. Your content
You retain ownership of the CVs, documents, profile information, and other content you upload or enter (“your content”). You grant STEMPilot the limited right to store, process, and use your content solely to provide the service to you — extracting evidence, generating documents, matching you to opportunities, and similar candidate-facing features described in the Privacy Policy. STEMPilot does not sell your content and does not give sponsors or unrelated third parties access to it.
You are responsible for making sure you have the right to upload and use any content you submit, and that it does not infringe anyone else’s rights or contain anyone else’s private information without their consent.
9. Feedback and opportunity submissions
If you submit feedback, bug reports, or an opportunity you found elsewhere, you allow STEMPilot to use that submission to operate, troubleshoot, and improve the product. Submitting feedback is optional and does not by itself authorize using your other private content (CVs, profile evidence) to train any AI model — see the Privacy Policy for how any future, separately-consented model-improvement use would work.
An opportunity you paste in is treated as private to your account first. STEMPilot does not automatically publish it into the shared catalog other members see.
10. STEMPilot's own content
STEMPilot’s own software, design, text, and branding are owned by STEMPilot or its licensors and are not licensed to you beyond what is needed to use the service as intended. Do not copy, reverse-engineer, or create derivative products from STEMPilot’s own platform without permission.
11. Suspension and termination
You may stop using STEMPilot and request account deletion at any time through account settings or by contacting us — see the Privacy Policy for how deletion works. We may suspend or terminate access to an account that violates section 3 (acceptable use), that we reasonably believe poses a security or legal risk, or that has been inactive for an extended period, consistent with the retention rules in the Privacy Policy. Where practical, we will attempt to notify you first.
12. Service changes and availability
STEMPilot is provided on an evolving, “public beta” basis. Features may be added, changed, or removed, and the service may occasionally be unavailable for maintenance or due to factors outside our control. We will try to avoid removing free functionality you already rely on without notice, but we cannot guarantee uninterrupted availability during the beta.
13. Third-party links and services
STEMPilot links to and imports information from official employer, university, and government sources, and may in the future integrate with third-party services (for example an AI provider, once one is selected — see the Privacy Policy). STEMPilot is not responsible for the content, availability, or practices of third-party sites you visit through these links.
14. Disclaimers and limitation of liability
OWNER/LEGAL REVIEW REQUIRED BEFORE PUBLIC LAUNCH: this section leaves a placeholder rather than inventing legal details that have not actually been decided.
STEMPilot is provided on an “as is” and “as available” basis during the public beta, without warranties of any kind, express or implied, including warranties of accuracy, fitness for a particular purpose, or non-infringement, to the fullest extent permitted by applicable law. STEMPilot does not guarantee that opportunity information is complete or current, that AI-assisted output is accurate, or that using STEMPilot will result in any particular career outcome.
To the fullest extent permitted by applicable law, STEMPilot and its team are not liable for indirect, incidental, or consequential damages arising from your use of the service. Nothing in this section is intended to exclude any liability that cannot lawfully be excluded under the law that applies to you.
15. Future paid plans
STEMPilot’s core candidate features are free today. No paid plan can currently be purchased, and no payment or card information is collected anywhere in the product. If paid plans (such as the “Career Pro” or “Research Pro” plans shown as “coming later” on the Pricing page) are activated in the future, these terms and the Pricing page will be updated first, and existing free functionality will not be taken away to force an upgrade.
16. Governing law and legal entity
OWNER/LEGAL REVIEW REQUIRED BEFORE PUBLIC LAUNCH: this section leaves a placeholder rather than inventing legal details that have not actually been decided.
This section will state the legal entity operating STEMPilot and the governing law and jurisdiction for these terms, once that has been decided and reviewed. Nothing on this page should be read as claiming a specific company registration or jurisdiction until this section is completed.
17. Changes to these terms
We may update these terms as STEMPilot evolves, particularly as the public beta progresses toward general availability. Material changes will be reflected here with an updated effective date, and where practical, we will make an effort to notify members of significant changes.
